Team accounts let the people who work at your practice sign in with their own username and password instead of sharing yours. You decide which websites each person can work on, which products they open, and whether they can see billing, settings, analytics, conversations and bookings.
Giving a receptionist their own login
Open the hub at rapidintelligence.com.au/app/hub and click Team in the header. On the Team accounts page, click + Add team account and fill in the form:
- A Username for the person. Letters, numbers,
-and_are allowed. - A Password of at least 8 characters. You choose it and pass it on to them.
- Under Sites, tick every website they should be able to work on.
- Under Products, tick RIKO and RISE as needed.
- Under Permissions, set what they can see and change.
- Click Save.
The page shows your practice login name at the top with a Copy button. Your staff need that as well as their own username and password, so copy it into the message you send them.
How a staff member signs in
Staff do not sign in with an email address. On the sign-in page at rapidintelligence.com.au/app/login they click Staff member? Sign in with your practice login and enter three things:
- Practice login - your practice's login name, the one shown at the top of the Team accounts page.
- Username - the username you created for them.
- Password - the password you gave them.
Clicking Sign in with email instead goes back to the owner sign-in form. Staff sign-ins have the same 15-minute lock after repeated wrong passwords as owner sign-ins, and an alert email goes to you, the account owner, when a lock starts.
Choosing what each staff member can see
Every permission is a tick box on the staff member's form:
- Can see billing and card details - off by default. Leave it off and the staff member never sees the billing page, invoices or your card.
- Can change settings and knowledge base - on by default. Turn it off for someone who should read conversations but not retrain the bot.
- Can see analytics - on by default.
- Can see conversations - on by default.
- Can see bookings - on by default.
Changes take effect on that person's very next click. There is no need to ask them to sign out and back in.
What staff logins can never do
Some things stay with the account owner whatever you tick:
- RIFT is never granted to a staff login. The Products list shows "RIFT access for staff is coming soon".
- Adding a website to the account is owner-only.
- Managing team accounts is owner-only. A staff member cannot create, edit or delete other staff logins, and cannot see the Team page.
If a staff member has RIKO switched off but RISE switched on, the RIKO dashboard shows them a no-access notice while RISE keeps working normally.
Changing a password, pausing or removing a staff login
Each row on the Team accounts page has its own buttons:
- Reset password sets a new password for that person. You choose it and pass it on; they are signed out everywhere as soon as it changes.
- Disable switches the login off without deleting it, which is what you want for someone on extended leave. The row is marked Disabled and the button becomes Enable.
- Delete removes the login for good, after a confirmation step.
Disabling or deleting takes effect immediately, on that person's next click. Use it the moment someone leaves the practice.
When the Team button is not there
The Team button only appears in the hub header for account owners on a qualifying plan. Team accounts are available on:
- RIKO Booking or Pro
- RISE Automation or Growth
- RIFT Practice, Group or Enterprise
If you are on RIKO Essentials or a trial, the button is hidden until you move to Booking or Pro. See Plans and upgrading. You also will not see the button while signed in as a staff member, because staff cannot manage staff.
