This article explains everything on the billing page at /app/billing: what each site is charged, when, on which card, and how to change it. Payments are handled by Stripe; we never see or store your card number.
The billing page
Open the billing page by clicking Billing in the hub header at /app/hub, or go straight to /app/billing. The line under the heading tells you how many websites are on the account, the monthly total across all of them, and which login you are signed in as.
Each site on the account has its own card on the page showing:
- the business name (the site you are currently in is tagged current) and its monthly amount, exactly as it will appear on the next invoice, discounts included;
- the products on the subscription, for example "RIKO Pro + RIFT Practice", or "No subscription yet";
- a status line: Free trial - first charge and the date, Next charge and the date, Cancels on and the date, or Payment failed - update your card;
- Paid with and the card (for example "Visa ending 4242"), with an Update card button;
- any discounts on the subscription, in plain words;
- a Promo code box with Apply;
- Invoices & billing details, Cancel subscription, or Set up billing if the site has no subscription yet.
If the account has no subscription at all, the page says "Nothing to bill yet. Pick a plan from your dashboard's Upgrade tab and everything about it will appear here."
One subscription per site, one line per product
Each site is its own subscription and its own invoice. A subscription has one line per product the site uses: a RIKO plan (Essentials $49/month, Booking $99/month or Pro $149/month) and, if the clinic uses RIFT, a RIFT band (Solo $99, Practice $249 or Group $399 per month, based on active clinicians). All prices are in Australian dollars.
Two sites on one account are two subscriptions, each shown separately on the billing page and each with its own invoices. The monthly total at the top of the page adds them together.
Complimentary accounts show "No charge" and "Complimentary - nothing to manage." and have no subscription to look after.
The 14-day free trial and the reminder before it ends
New accounts get a 14-day free trial (30 days if you signed up with a referral code or link). At signup you go through Stripe Checkout and your card is saved, but nothing is charged that day. The billing page shows Free trial - first charge with the date. If you do nothing, the subscription starts on that date and the card is charged the monthly amount shown.
About 3 days before the trial ends you receive an email titled "Your free trial ends on [date] - here's what happens next". It states the exact date and the exact amount that will be charged, discounts included. If nothing will actually be charged (for example the amount is fully discounted), no reminder is sent.
To avoid being charged, cancel before the date using Cancel subscription on the billing page. You will not be charged anything.
If a trial runs out without a card on file (for example a site added to an account that is already past its trial), the RIKO dashboard shows "Your free trial has ended" with the three plans to choose from. Your widget keeps running during that time; only the dashboard is locked until a plan is chosen.
What the invoice shows
Stripe issues the invoice and the receipt for each subscription. The amount on the billing page is the amount of the next invoice with every discount already taken off. The invoice lists each product as its own line, then the discount, then the total. The invoice carries the business name and details of the billing account it belongs to (see "Paying with a shared card or the site's own card" below).
To view or download invoices, click Invoices & billing details on the site's card. This opens Stripe's secure billing portal, where you can see every invoice, download PDFs and update the billing name, address and email that appear on them. Use All products or the portal's return link to come back.
Automatic discounts
Two discounts are applied for you at checkout; you do not enter anything.
- Extra site - 30% off. Every site after the first on an account gets 30% off its whole subscription, whatever it buys and whichever card pays for it, forever.
- Bundle - 15% off. The first site (the account owner) gets 15% off when it has two or more products on the one subscription, for example RIKO and RIFT.
A subscription carries at most one of these. An extra site always gets the 30% and never the 15%, even if it also has two products. Discounts show on the site's card on the billing page in plain words, for example "Extra site - 30% off" or "Bundle - 15% off".
Promo codes
If we have given you a promo code, you can add it on top of any automatic discount; the two stack.
- Before you subscribe: in the cart, type the code into the Promo code box and click Apply. The cart shows what it is worth and carries it through to checkout. If there is no automatic discount, Stripe's checkout page also has its own promo code box you can use instead.
- After you subscribe: on the billing page at
/app/billing, type the code into the Promo code box on the site's card and click Apply. You will see "[CODE] applied: [what it does]. It shows on your next invoice." If the code is already on that subscription, the page tells you so.
A code that has expired, been used up, or never existed shows "That code isn't valid." Codes can be applied to a site only once it has a subscription; before then, use the cart. Complimentary accounts have nothing to discount and show no promo box.
Paying with a shared card or the site's own card
Your first site is billed to the card you saved at signup. When you add another site, there are two ways to set it up, and the choice is made when that site first subscribes:
- Shared card. Switch to the new site, open its RIKO dashboard Upgrade tab (or the "Your free trial has ended" screen) and choose a plan. Its subscription goes on the account owner's existing billing account, so it is charged to the same card and its invoices carry the owner's business details.
- Its own card. On the billing page at
/app/billing, click Set up billing on the new site's card. This takes you to Stripe Checkout for that site alone, where you enter a card for it. The site becomes its own billing account: its own card, and invoices in its own business name and details. Use this when the second clinic is a separate legal entity that needs invoices in its own name.
This cannot be swapped later. Stripe cannot move a subscription from one billing account to another, so a site that shares the owner's card cannot later be given its own, and the reverse. To change it you would cancel that site's subscription and subscribe it again the other way; contact support@rapidintelligence.com.au first and we will walk you through it so nothing lapses.
Updating a card
On the billing page at /app/billing, click Update card next to Paid with on the site's card. This opens Stripe's billing portal on the card step; enter the new card and it becomes the card for that billing account. If several sites share one card, updating it once updates them all. You are returned to the billing page when done.
Cancelling a subscription
- On the billing page at
/app/billing, click Cancel subscription on the site's card. - Stripe's billing portal opens on the cancellation step. Confirm there. You are returned to the billing page.
Cancelling takes effect at the end of the period you have already paid for (or at the end of the trial, if you cancel during it, in which case nothing is charged). Until then everything keeps working, and the site's card on the billing page shows Cancels on and the date; the Cancel subscription button disappears because it is already scheduled. There are no pro-rata refunds for the rest of a period.
Once the subscription ends, the RIKO dashboard for that site is locked until a plan is chosen again. Your account data is kept for 90 days after cancellation, so you can export conversations and bookings (Export CSV in the dashboard) before it ends, then permanently deleted. Each site is cancelled separately; cancelling one does not affect the others.
When a payment fails
If a charge is declined, the RIKO chat widget on that site goes offline and visitors see "This assistant is temporarily offline. Please contact [your business] directly for assistance." At the same time:
- the RIKO dashboard shows a red banner: "Payment failed - your widget is offline until your invoice is paid." with an Update payment button that opens Stripe's billing portal;
- the billing page shows Payment failed - update your card on the site's card;
- an email titled "Action required: your RIKO widget is offline" is sent to the account email.
Update the card (or pay the open invoice in the portal). As soon as Stripe records the payment as successful, the widget comes back online by itself and the banner clears. No further action is needed.
A similar red banner, "No payment method on file - your widget is offline until billing is set up." with a Set up billing button, appears if a site is on a paid plan but has no subscription behind it. Choosing a plan from the Upgrade tab fixes it.
RIFT band changes and the next invoice
RIFT is priced on active clinicians: practitioners with at least one client appointment in the last 30 days, measured by RIFT each time it syncs with your practice management system, never self-reported. Bands are Solo (1 to 2) $99, Practice (3 to 8) $249 and Group (9 to 15) $399 per month.
When a sync moves your clinic into a different band, you receive an email titled "Your RIFT plan has changed" naming the new band and amount. Nothing is taken from your card that day: the new amount starts from your next invoice, and we never charge a difference part-way through a billing period. The billing page then shows the new band (for example "RIFT Group") and the new next-invoice amount. A quiet month with no active clinicians bills at the Solo amount.
A clinic that buys RIFT starts at Solo until its first sync measures it. If RIFT has never measured your clinic by the time the trial ends, RIFT is paused before it is ever charged and you receive an email explaining that connecting your practice management system starts it. Clinics above 15 active clinicians are priced individually; the billing page shows "One of your clinics has grown past 15 active clinicians. That is priced individually rather than automatically - get in touch and we'll sort it out." and nothing changes on the subscription until you have spoken to us.
