Any client file matching notes, forms, communications, diagnoses or insurance is explicitly excluded - RIFT will not read it.
Zanda's own API is in closed beta. Once Zanda grants your practice access, RIFT connects live and the export step goes away - until then, a fresh export whenever you want fresh numbers.
Cliniko's API is open to every account. Create an API key in Cliniko (My Info → Manage API keys), paste it into RIFT, and that is the whole setup: RIFT syncs itself daily from then on, so your numbers are never out of date.
Strictly read-only - nothing in Cliniko is ever changed - and the same rule on clinical data applies: no treatment notes, no case files, no letters. RIFT reads appointments, invoices and patient cases, nothing else.
One honest caveat. The appointments file carries reception's scheduling notes (on Cliniko, the notes on appointments and invoices), because "*paid $50 cash" written in a diary is exactly how RIFT catches money that never reached an invoice. That is the only free text it reads.
What is never involved: no clinical notes, no case files, no intake forms, no diagnoses.
Before any data changes hands, you accept our data agreement - it is recorded with your report. The numbers appear on screen in seconds and are emailed to you, covering your last 12 months.
The two systems share different data with us, so RIFT is upfront about the difference. Everything below reflects what actually runs today - not a roadmap.

Three more Cliniko honesty notes. An invoice paid in part still shows its full amount until Cliniko marks it paid, because the API shares no payment records - RIFT holds those for a human check rather than guessing. Invoices still sitting in draft are invisible to the API, so the work reads as uninvoiced - which is arguably the right alarm. And group appointments are not analysed yet.

Does RIFT change anything in our practice management system? No. RIFT is read-only and never writes to Zanda or Cliniko. It reads the billing side of your practice to find work you completed but were never paid for, and everything it produces is a list for your team to action. Nothing in your system is altered.
Does RIFT read our clinical notes? No. Clinical notes, case files, intake forms, diagnoses and patient communications are excluded outright, not merely left unread. The one piece of free text RIFT reads is reception's scheduling notes on appointments, because a note like "paid $50 cash" is exactly how money goes missing from an invoice.
Can RIFT email our patients without us knowing? No. Every account reminder is drafted for your approval and nothing sends until you approve it. Reminders go out in your practice's name, using wording you control, and every one is logged with what was sent, to whom, and who approved it. Hands-off sending exists, but only if you deliberately turn it on.
What happens to an uploaded export? It is analysed and deleted - we keep only the totals for your report. Before any data changes hands you accept our data agreement, and it is recorded against your report.
