What syncs
RIFT reads the billing side of your Cliniko account: appointments, invoices and their line items, practitioners, and patient cases - which is where Cliniko keeps referrals, session limits, expiry dates and third-party payers. That last part matters more than it sounds: cases map almost one-to-one onto the things RIFT hunts for, like a referral quietly expiring with funded sessions still on it, or a session block never drawn down properly.
The posture is the same as it has always been. RIFT is read-only and never writes to Cliniko. Clinical notes, treatment notes, letters and attachments are excluded outright - RIFT never requests them.
Why live sync beats an export
Until now the way into RIFT was a data export you generate yourself, and for Zanda practices it still is. An export is a snapshot: it tells you what was leaking on the day you produced it. A daily sync means the number stays current on its own - an uninvoiced session surfaces in the week it happened, not whenever somebody next remembers to run an export. Money that goes missing quietly is easiest to recover while the appointment is still recent.
Live data also unlocks the part of RIFT that saves the most admin time: chasing. Because a connected clinic's picture refreshes every day, RIFT's chase emails - the polite follow-ups on invoices past your own payment terms - run from current data rather than a stale file.
What the Cliniko API can't show (and what we do about it)
We build against what an API actually exposes, not what a sales page wishes it exposed, so here are the honest edges of this one:
- No payment records or claim outcomes. Cliniko's API doesn't expose individual payments or Medicare and health-fund claim results - in most clinics those live in the payments terminal (Tyro, Medipass and similar), not in Cliniko itself. So RIFT tracks an invoice as outstanding until Cliniko marks it paid, and a partially paid invoice shows its full amount until then.
- Draft invoices are invisible to the API, so a session with only a draft invoice reads as uninvoiced. We think that is arguably the right alarm - a draft nobody finalises collects exactly as much money as no invoice at all.
- Manually created invoices don't carry an appointment link (only invoices raised from an appointment do). A clinic that invoices by hand can look more uninvoiced than it is - the leak report makes this easy to check before anything is chased.
RIFT also reads your invoice notes and flags things like "paid separately" before anything is chased - an annotation your team already made shouldn't be something software ignores.
One practice system per clinic
A clinic connects either Cliniko or Zanda, not both, and switching mid-history is deliberately not self-serve. Recovery tracking only means something against one consistent source of truth - swapping sources midway would make old leaks look "recovered" when they simply stopped being visible. Where this leaves Zanda practices
Exactly where our last Zanda update left them, and nothing here changes that: RIFT runs from the Zanda data export today and finds the same money the API route would. Zanda's public API beta remains closed to new enrolments, and the day access opens, Zanda clinics get the same paste-a-key experience Cliniko clinics have now. That this launch happened on Cliniko first is purely a question of whose API door was open.
