From 1 December 2026 the NDIS pays only claims lodged within 90 days of the service date, down from two years (we explain the change in this week's guide). RIFT now treats every uninvoiced NDIS session as what it has become: money with a deadline. Each one carries a countdown to the last day it can be claimed, turns red in its final week, can email your team before it expires, and is recorded honestly if it gets away. The feature is live for every RIFT clinic today, and the free leak report shows it too.
A countdown on every uninvoiced NDIS session
RIFT already lists every completed appointment that has no invoice in your practice software. Where the client is NDIS-funded, that row now carries a pill reading, for example, "NDIS: 41 days to claim". It turns amber with 30 days left and red with 7. Red rows sort to the top of the Leaks list and the Today list whatever their dollar value, and Today gets its own section, NDIS sessions about to expire, so the most time-critical job on the desk is the first thing reception sees in the morning.
RIFT works out that a session is NDIS the same way a practice manager would: the client has invoices to a plan manager, a Cliniko case with an NDIS payer, a pack or referral named NDIS, or an appointment type such as "NDIS Physio". That last one matters: a brand-new client who has never been invoiced is still caught, because the diary already says what they are.
An alert a week before the window closes
Under Settings, Weekly digest, there is a new switch: NDIS expiry alerts. With it on, RIFT emails the digest recipients the day a session enters its last seven days, listing every session in the red with the amber ones underneath as "coming up". One email per session, the day it turns red, and never a repeat. If you clear them, the alerts stop by themselves.
The switch is off by default, on purpose. RIFT needs its rules tuned to your clinic first: which appointment types are legitimately unbilled, which clinicians bill elsewhere, which clients are special cases. Turn alerts on before that tuning and every mislabelled session will page your team. Turn them on after it and they only fire for money that is genuinely about to be lost.
What happens when a session gets away
From 1 December, an NDIS session that passes its 90 days with no invoice leaves the "raise invoice" list and moves to a new one: NDIS sessions not caught in time. It appears in the app, in the weekly digest, and in the free leak report, with its own total that is kept out of the money RIFT counts as recoverable. We considered hiding expired sessions, since nothing can be done about them, and decided the opposite. A practice should see what slipped, when, and what it was worth, because that is the clearest possible case for watching the diary daily instead of monthly.
For a clinic already using RIFT, that list points at the alert switch. For a practice seeing RIFT for the first time through the free report, it simply says what RIFT would have flagged, a week before each session expired.
Before 1 December
The countdown runs from today, so you can use the next five weeks to sweep. A session already older than 90 days shows in red as "claim before 1 Dec 2026" rather than expired, because under the current rules it can still be claimed. The NDIA has not yet said how supports delivered before 1 December will be treated once the new window applies, and RIFT will follow that guidance when it is published. Until then the safe move is to invoice anything old now.
The honest edges
- RIFT cannot raise the invoice for you. It reads your practice software and never writes to it. The countdown and the alert exist to get a person to the right row in time.
- RIFT cannot see the claim itself. Whether a plan manager has lodged an invoice RIFT can see is between you and the plan manager. The clock RIFT shows is the legislated one, from the service date; your real margin is shorter by however long your plan managers take.
- The 90-day rule is new law and the guidance is still arriving. RIFT's dates and wording follow the published rules and will change if they do.
How to see it
Existing clinics: open RIFT and look at the Today list. If you have uninvoiced NDIS sessions, the countdown is already there. To switch on alerts, go to Settings, Weekly digest.
Everyone else: the free leak report below now includes the NDIS section. It will tell you how many uninvoiced NDIS sessions are sitting in your diary today, and how many are already inside their last 30 days.
